Property Assistant-Calgary

Job Description

As our Property Assistant, you will:

• Manage quality communication, customer support, and product representation for each prospect.
• Assist with leasing suites with specific leasing goals in mind.
• Ensure that prospective resident applications, credit information, landlord and employer references are all correct and complete before the review of Associate.
• May assist Property Manager with move-in/move-out inspections.
• Enhance customer satisfaction and retention.
• Market available properties using a variety of media and promoting materials.
• Ensure your portfolio of properties is well maintained and managed in accordance with MMG standards and guidelines.
• Complete traffic reports, vacancy reports, and related paperwork as required.
• Utilize follow-up programs (i.e. thank-you cards, calls, etc.)
• Participate in ongoing sales training to improve sales techniques.
• Report deficiencies in market-ready suites and in the building to the Property Manager.
• Ensure suites are ready and of the highest quality to rent.
• Collect competitive data to ensure our properties are comparable to the market.
• Review prospect inquiries daily, and book appointments in Lead Management.
• Present properties and provided amenities to prospective tenants.
• Responsible for syncing Lead Management Calendars.
• Prepare and distribute welcome packages to new tenants.
• Responsible for Lease renewals.
• Collect and post rent.
• Collect arears.
• Conduct move ins and move outs.
• Track and monitor tenant violations and report to the Site Manager.
• Assist with serving eviction notices when required.
• Follow up with pending applications that have missing information.
• Share responsibility with the area team for property safety and security
• Address customer concerns and escalate when required to Operations.
• Perform software management in Yardi
• Work constructively with the team to ensure customer service requirements are resolved and team goals are met.
• Build excellent relationships with customers.
• Ensure that prospective resident applications are completed correctly and in full.
• Complete traffic reports, vacancy reports, and related paperwork as required.
• Responsible for light maintenance duties such as changing light bulbs, light dusting, and cleaning of suites and common areas.
• Assist the Residential Community Manager (Operations) with additional tasks as required.

Requirements:
• High School Graduate; Post-Secondary Education or industry experience preferred but will train the right candidate.
• RECA license an asset.
• Must be proficient in the use of technology, smartphone, and computer (Microsoft Office). Knowledge of Yardi is an asset.
• Strong aptitude for sales and customer service.
• Hospitality industry experience an asset.
• Candidate must have excellent time management skills and ability to prioritize work;
• Exceptional analytical, communication (written and verbal) and interpersonal skills.
• Must have a high degree of professionalism and possess an exceptional customer service philosophy.
• Highly organized, results-oriented and able to work in a multi-functional team environment.
• Appearance must be neat, clean and professional.
• Must have own vehicle and valid driver’s license.
• Security clearance required upon offer of employment.
• Have the ability to work evening, weekend, and holiday hours to accommodate business needs Lease suites and/or renew upcoming lease expiries with specific leasing goals in mind.
